RECORDS MANAGEMENT SUPERVISOR

NATURE OF WORK

This is complex and administrative work in the management and preservation of county records.

Work involves preparation and presentation of regularly scheduled educational workshops on records retention and management to each department, office and agency in the County. It also involves participation in the operation of the Broward County Records Center and supervision of a staff of records technicians engaged in the physical tasks involved with archives and records management work. Work is performed with latitude for the exercise of independent judgment within established policies and procedures and is reviewed through reports, conferences, monitoring and evaluation of results achieved.

ILLUSTRATIVE TASKS

Plans, organizes and supervises the daily operation and maintenance of the Broward County Records Center.

Maintains a computerized data base of information on records retained and destroyed.

Coordinates destruction requests with the State of Florida.

Supervises and participates in records survey work; prepares and administers records retention and disposal schedules.

Assists in the formulation and administration of records management policy and procedures; confers with administrative staff and interprets policy.

Supervises and participates in work attendant to sorting, coding, storing and retrieving records; compiles information and prepares reports.

Conducts educational seminars for all user agencies.

Prepares and updates written guides for Records Center users.

Performs related work as required.

KNOWLEDGE, ABILITIES AND SKILLS

Considerable knowledge of standard techniques as applied to the operation and maintenance of a complex filing and records management system.

Considerable knowledge of standard computer programs such as Wordperfect 6.1, Lotus and other popular data base programs.

Considerable knowledge of business English, spelling and grammatical construction.

Considerable knowledge of office record keeping and reporting.

Ability to supervise the work of subordinate level clerical personnel.

Ability to perform duties with initiative and to exercise competent judgment.

Ability to communicate effectively orally and in writing.

Ability to speak before medium to large groups.

Ability to meet County requirements for use of a personal automobile for occasional business use.

Ability to function effectively without daily supervision.

Ability to serve the public and fellow employees with honesty and integrity in full accord with the letter and spirit of Broward County's Ethics and Conflict of Interest policies.

Ability to establish and maintain effective working relationships with the general public, co-workers, elected and appointed officials and members of diverse cultural and linguistic backgrounds regardless of race, religion, age, sex, disability or political affiliation.

Skill in the use of a personal computer.

DESIRABLE EXPERIENCE AND TRAINING

Associate of Arts or Science degree in business or public administration; considerable experience in a large facility in records keeping and management work or legal records management; or any equivalent combination of training and experience.

NECESSARY SPECIAL REQUIREMENT

Possession of a valid Florida driver's license.
