NATURE OF WORK
This is communications work in the operation of a Private Branch Exchange (PBX) console at Port Everglades.
Work involves handling a high volume of telephone calls for Port divisions. Work includes operating Port Everglades' Electronic Telephone Directory System, locating County personnel, providing information to the public on the locations, functions, and operations of Port divisions and offices. Employee greets and signs in visitors; receives deliveries for Port staff. Work also involves miscellaneous typing and photocopying; and preparing and updating the Port telephone directory. Work is reviewed for the quality of service rendered to employees and the general public, based on performance standards.
Operates a PBX console of a major telephone system.
Answers interoffice, local and long-distance calls and makes proper connections.
Furnishes telephone numbers, locations, and general information on Port functions and activities; locates telephone extensions of personnel.
Greets visitors to Port Everglades and directs them to the proper division.
Distributes cruise guides, Port Everglades handbooks, annual reports and directories to the public as requested.
Receives packages and letters and distributes to Port staff.
Maintains records of all toll and long-distance calls placed; prepares and updates the Port telephone directory.
Performs clerical support including typing and photocopying, as requested.
Performs related work as required.
KNOWLEDGE, ABILITIES AND SKILLS
Knowledge of the operation of a PBX console.
Knowledge of office practices, procedures, and standard record keeping.
Ability to speak clearly and distinctly, using a well modulated and pleasing voice, and to use correct grammatical construction and choice of words.
Ability to greet the public on the telephone and in person in a pleasant and courteous manner.
Ability to operate a multi-line telephone and associated features and equipment, such as call hold, conference, transfer, camp-on, call-park, and voice messaging.
Ability to operate a computer terminal work station after suitable instruction.
Ability to serve the public and fellow employees with honesty and integrity in full accord with the letter and spirit of Broward County's Ethics and Conflict of Interest policies.
Ability to establish and maintain effective working relationships with the general public, co-workers, elected and appointed officials and members of diverse cultural and linguistic backgrounds, regardless of race, color, religion, gender, national origin, age, marital status, political affiliation, familial status, disability, sexual orientation, pregnancy, or gender identity and expression.
Skill in answering a multi-line telephone system, placing callers on hold when necessary, and transferring calls to proper extensions.
REQUIRED EXPERIENCE AND TRAINING
Successful completion of job related tests. Six (6) months experience in the operation of a telephone switchboard, PBX console, or multi-line telephone equipment in a primary telephone answering position desired.
