AGENDA ASSISTANT



NATURE OF WORK

This is moderately complex and varied secretarial and clerical work which requires computer technology of word processing and imaging documents, specifically for the commission agenda preparation and distribution.

Work requires the exercise of initiative, independent judgment, and discretion in handling delegated administrative details in the performance of agenda preparation. Instructions are received from an administrative superior on new assignments and policy matters, and advice and assistance are normally available. Work is reviewed upon completion for adherence to established policies, procedures, and results obtained.

ILLUSTRATIVE TASKS

Relieves an administrative superior of routine administrative details, such as: checking reports for accuracy and conformance to policies and standards; assisting in commission agenda preparation and distribution.

Prepares documents for imaging and scans them for conversion to OCR and PDF files. Creates CD-ROM's.

Plans work schedule and arranges work flow to meet weekly deadlines. Makes appointments and maintains calendar.

Searches and locates all data pertinent to specific matters and purges files of unnecessary items. Assembles and summarizes material from files; cross references data and locates information requested through general instructions from supervisor.

Keeps various activity and production records.

Assists employees in other agencies by relaying instructions, advising on operational policies and requesting information needed by supervisor.

Performs related work as required.

KNOWLEDGE, ABILITIES AND SKILLS

Knowledge of secretarial procedures, including correspondence preparation, filing systems, office machine operation, business English and commercial arithmetic.

Knowledge of clerical procedures of office supervision and those applicable to the organizational activity to which assigned.

Knowledge of executive protocol and the proper order of etiquette in conduction of secretarial relations with high level officials.

Ability to work under strict deadlines in a high-pressure environment.

Ability to operate both a personal computer and electric typewriter at an accurate and rapid rate of speed.

Ability to learn and adapt quickly to new and unfamiliar computer software applications.

Ability to search for and compile data from files and other sources applicable to agenda preparation and/or topic of concern.

Ability to organize and maintain continuous flow of documents and computer files, while meeting weekly deadlines of agenda publication.

Ability to make minor decisions in accordance with office policies and procedures.

Ability to communicate effectively, both orally and in writing.

Ability to serve the public and fellow employees with honesty and integrity in full accord with the letter and spirit of Broward County's Ethics and Conflict of Interest policies.

Ability to establish and maintain effective working relationships with the general public, co-workers, elected and appointed officials and members of diverse cultural and linguistic backgrounds regardless of race, religion, age, sex, disability, political affiliation or sexual orientation.

REQUIRED EXPERIENCE AND TRAINING

Graduation from high school, including or supplemented by course work in computer literacy and keyboarding; two (2) years experience in secretarial and clerical work; or any equivalent combination of relevant training and experience.
