PORT EVERGLADES ENGINEERING DOCUMENTATION CLERK
NATURE OF WORK
This is clerical work of moderate complexity requiring the skilled operation of a typewriter/ personal computer and filing of documents.
Work involves maintaining all files in Construction Management and Planning Division, including but not limited to correspondence, contract records, specifications, permits, publications, suppliers, catalogs, reports and requisitions. Assists in the preparation of Contract Bid Documents. Work involves the application of judgment based on a general knowledge of the operations of the Construction Management and Planning Division. Employee works independently within the framework of departmental policy. Work is reviewed through conferences and regular reports.
ILLUSTRATIVE TASKS
Places correspondence, records, permit, publications, reports, specifications and similar material in files according to established filing system; and retrieves when directed.
Maintains logs of material, specifications and contracts issued and material removed from files. Follows up on file return and maintains master list of all files.
Performs duplication work for the Division.
Performs typing tasks of moderate complexity as assigned.
Routes incoming mail and screens telephone calls and visitors.
Responsible for typing, and proofing, revising contract documents and specifications and preparing and mailing and/or faxing addenda to construction/bid documents.
Coordinates information regarding and distribution of bid documents to potential bidders for construction projects with the Purchasing Division.
Performs other duties as required or assigned.
KNOWLEDGE, ABILITIES AND SKILLS
Knowledge of personal computers and word processing.
Knowledge of business English, spelling, punctuation, and arithmetic.
Knowledge of modern office practices, procedures, equipment, and standard clerical techniques including typing and filing.
Ability to maintain moderately complex clerical records and to prepare reports therefrom.
Ability to make arithmetical calculations rapidly and accurately.
Ability to perform assigned tasks in accordance with laws, ordinances, and regulations, and established department policy.
Ability to understand and follow moderately complex oral and written instructions.
Ability to serve the public and fellow employees with honesty and integrity in full accord with the letter and spirit of Broward County's Ethics and Conflict of Interest policies.
Ability to establish and maintain effective working relationships with the general public, co-workers, elected and appointed officials and members of diverse cultural and linguistic backgrounds regardless of race, religion, age, sex, disability, political affiliation or sexual orientation.
Skill in the operation of a typewriter or personal computer.
REQUIRED EXPERIENCE AND TRAINING
Graduation from high school, including or supplemented by course work in typing and business subjects; one (1) year experience in filing, typing, word processing and office procedures; or any equivalent combination of relevant training and experience. Must possess a valid Florida driver's license at time of appointment.
