NATURE OF WORK
This is complex and varied administrative work providing professional level assistance directly to the Vice President of Administration.
Work involves the application of specialized knowledge and experience in coordinating and completing administrative assignments in accordance with rules, regulations, and procedures.
Work includes planning and evaluating work methods and procedures and supervising clerical administrative operations including personnel, purchasing and record keeping. Employee is required to exercise extensive initiative and independent judgement in coordinating administrative functions.
Supervision may be exercised over clerical staff and specially assigned technical staff. Work is reviewed through conferences, observation, reports submitted and achievements.
Supervises clerical and specially assigned staff engaged in a variety of secretarial, clerical, and bookkeeping functions; supervises, assigns and reviews work of subordinates.
Supervises and reviews states of accounts and records, and assists in preparing oral, written and statistical reports.
Coordinates and manages all activities of a program or project which has operational responsibility of limited scope.
Assists in the development of project procedures and schedules; prepares project reports and related data.
Assists in preparing agency budget, and budget reports.
Provides professional level staff assistance to an administrative superior, in specially assigned areas of operation; assists and advises on matters pertaining to programs or projects assigned.
Provides administrative liaison with International Offices and provides support to the contracted employees; reviews semi-monthly invoices for reimbursable expenses and monthly wage reimbursement, and prepares payment vouchers.
Prepares partial purchase orders and records invoices/payments for the advertising and public relations firms that represent the GFLCVB.
Reviews all direct payment vouchers and travel request vouchers before submitting for approval; reviews agreements; analyzes costs, verbiage and procedures; tracks status and expiration dates.
Facilitates the accomplishment of work through providing, obtaining and coordinating a variety of services.
Deposits funds collected for hospitality industry participation in trade shows and sales missions, quarterly hospitality functions, reimbursement payments and invoices for collateral material requests in bulk and enter on LGFS.
Performs related work as required.
KNOWLEDGE, ABILITIES AND SKILLS
Knowledge of the principles of management, organization, and administration.
Knowledge of the standard practices in the fields of local government personnel management, budgeting, and accounting.
Knowledge of the organizational structure of county government.
Knowledge of modern office practices, systems and equipment.
Knowledge of business English, spelling and arithmetic.
Knowledge of the functions and operations of the involved division, section or unit.
Ability to plan, direct, and coordinate the work of subordinates as required by work assignments.
Ability to communicate effectively, both orally and in writing.
Ability to serve the public and fellow employees with honesty and integrity in full accord with the letter and spirit of Broward County's Ethics and Conflict of Interest policies.
Ability to establish and maintain effective working relationships with the general public, co-workers, elected and appointed officials and members of diverse cultural and linguistic backgrounds regardless of race, religion, age, sex, disability, political affiliation or sexual orientation.
REQUIRED EXPERIENCE AND TRAINING
Graduation from an accredited four-year college or university with course work in business administration or public administration, or field appropriate to area of assignment; two (2) years experience in a staff or administrative capacity including six (6) months supervisory experience; or any equivalent combination of relevant training and experience.
